What will characters do at my party?
At the time you set with us, your chosen character will arrive at the party, ready to surprise your guests. If you want them to knock on the front door, they will; however, we can also have them enter a special way, like walking into the backyard, being led in by another adult, or even waiting for the party to move into a different room, with the character waiting.
Your special character will bring their own supplies for all of the games and activities for the party you book.
Your character will also pose for pictures with your birthday child and their guests at any time during the party. Many families like to have group photos, as well as individual photos with the guests and sometimes even family photos.
Before the character leaves, they will join the singing of “Happy Birthday” to the guest of honor. This is a perfect time to cut the cake, and allows the character to leave gracefully. However, mascot characters cannot sing, so they will join in animated, though silent ways.

How do I book?
Please fill out and submit our contact form or email us at [email protected] so we can check the availability of your party package. We recommend you book 4-6 weeks in advance, because this will give you a better chance of getting the party host and date of your choice.
Verbal reservations will be held for 24 hours. To fully secure a date, we require a deposit. If we do not receive this in that time, the party date and time will be released if someone places a deposit on a party for the same time.

Final Count/ RSVP Policy
We need a final count seven (7) business days prior to the party, if you have selected the “Tea party” or “All Inclusive” packages.
This will be the number used to plan appropriate quantities of prizes, accessories, crafts, and costumes (if applicable).
This final count includes the birthday child.
If a guest is included in the final count and does not attend, unfortunately we cannot provide a refund. In addition, we will not be able to accommodate unexpected guests/siblings. They will need to be supervised either by you or the child’s parent.
Overall, it would be better to have an extra place setting than a child that is left out.

How do I pay?
50% will be deducted from the total price as a deposit. Deposits are required for booking character visits. The balance must be paid in full one week before the day of the party (square or credit card). There is a $25 fee for any check that is returned or has non-sufficient funds (NSF).
All deposits are NON-REFUNDABLE because the party host reserved for your event is considered unavailable for other parties.

Travel Fees
Party packages include round trip travel within a twenty (20) mile radius from Las Vegas NV. A travel fee will be charged for travel beyond this twenty (20) mile zone. This charge is necessary to cover the extra travel time, gas, and vehicle wear and tear.

Events other than Birthdays
We can come to any event – we’ve been invited to Grand Openings for various stores, visits at yogurt shops, celebrating holidays with retail outlets and fundraising events. We are happy to discuss any event with you.

Party Locations
We bring the party to your home, park, church, a reception hall, or wherever you would like. Please provide us with a complete address including the city and zip code for all parks and venues.
Some venues have their own restrictions and guidelines so please check to make sure your venue allows outside entertainment before booking with us.
We are happy to provide entertainment at parties hosted at a restaurant. We just ask that you inform the restaurant staff that you will be having entertainment. If an extra table is needed to do crafts or face-paint, etc., we will ask you to arrange for this with the restaurant staff.
Some venues have their own restrictions and guidelines so please check to make sure your venue allows outside entertainment before booking with us.
We are happy to provide entertainment at parties hosted at a restaurant. We just ask that you inform the restaurant staff that you will be having entertainment. If an extra table is needed to do crafts or face-paint, etc., we will ask you to arrange for this with the restaurant staff.
Character arrival timing
Typically, it is best to plan for you to start your party at lest 30 minutes before you have the character come to your door; that way no one misses the fun with the special guest.
If possible, please have the party guests waiting for the character in a place that they cannot see the character, so the party guests can still be surprised. This also gives the character an opportunity to prepare anything that they need to.
If you have an extra adult on-hand to help the character carry supplies into the party, the help is greatly appreciated.

Outdoor Parties
We would be happy to entertain outdoors if weather permits.
We do not allow outdoor parties from June 1st to September 1st due to extreme heat. This is required by our insurance for the safety and health of our performers.
However, please make sure that there is plenty cool shade for the performer since they are wearing heavy costumes.
Please make sure if you are planning an outdoor party that you have a backup venue in case you need to hold your party indoors. If you do end up moving indoors before the character arrives, please give us a call so we can arrange it with the party character.

In order to give each child the attention they deserve,
we suggest that you have up to 12 children per performer.
If you plan on having more than 20 guests, we suggest you either hire another character or eliminate a time consuming activity, such as face painting.

Multiple characters
We are happy to send more than one character to a party. Many parties request superhero teams, several princesses, or mascots that go together.
A princess and her prince could come, or you could have the princess and a pirate, a clown, or a superhero.
Mixing and matching is no problem at all!

What to do after booking
You will need to make sure that you have given us your final guest count as stated under “Final Count/ RSVP Policy”.
Make sure you have a clear space where the character has room to move freely and room enough for all the kids to sit around them. Areas where toys are out of sight will help to keep children engaged while the character leads activities and also prevent falls and accidents from happening.
We will also need a table and chair if we are providing crafts or face painting.
Each event is self-contained. The performers are very flexible and need only enough room for the children to sit or stand around them, for activities like princess fashion show, dancing, or superhero training.

Deposits are non refundable. If you need to reschedule, we will gladly work with you to determine an alternative party date, based on availability.

Hospital visits and Charity events
If you know a sick child, and they would enjoy a surprise visit from their favorite
character, please let us know! This is the heart of our business and part of our pro-bono work. We can make home and hospital visits. We will visit with the child for a brief time and read a story or two, if desired. We will work with you on the details of the visit to make it as special as possible.

Character Assistants
Las Vegas Character Visits reserves the right to bring an additional staff member along without notice for assisting the characters with setup and transporting supplies in high-volume parties, escorting the characters for security purposes, or driving the characters to events.
The assistant will not interfere with the activities or guests and will be there for the sole purpose of helping and protecting the actors. We will do our best to notify you.

Special Needs
If your child or any of the guests have any special needs or allergies, it is your responsibility to inform us before the event.
We are not liable for any injuries, allergic reactions to food, makeup, or face paint, or accidents, etc that may occur while at the event. We will work with you as much as we can, just let us know what the situation is.

Arrival and departure times
Character entertainment start & end time will be determined prior to your party date. Extended time and/or characters can be accommodated if arrangements are made in advance. We appreciate your consideration and understanding.
Driving directions to your location are very much appreciated since web directions are not always reliable. Our characters will do all they can to arrive at your party a little early, but sometimes things happen.
Please have a phone available in case the character gets lost, delayed, or in an accident. If something like this happens, we will do all we can to make it right.

Late party guests
Our characters run on a very tight schedule, and therefore cannot be delayed as they may have another event to attend after yours. If some of your guests are late, we
recommend that they join in the party upon arrival.
Those guests coming late may join the party at whatever point it has progressed to. For Example: The group has already completed the make-up session and has moved on to the dress up, the late guest must skip the make-up and join in the dress up. This is necessary in order to provide the least amount of disruption to the party. Your understanding is appreciated.

Photography
Las Vegas Character Visits reserve the right to use photos taken during the party for promotional purposes. These photos will not identify the child’s full name, age, or residence. We are happy to allow you to take as many photos and/or video footage as you like as well.

Gratuities
Gratuities are not included in the package pricing, and are always greatly appreciated by our characters! If you want to show the character that you appreciated their
performance, we recommend a gratuity based on the party amount of 10% – 20% at your discretion. Tips are not required, but always appreciated.

Parent Attendance
We ask that the parent(s) of the birthday child please stay for the duration of the party to attend to possible needs of the children. The parents of guests are welcome to stay and enjoy the fun! Adult supervision is required at all times.
We are not baby sitters and will not discipline the kids. The party character is only responsible to engage the children in party activities. Good behavior is always promoted, but it is the responsibility of the hostess to monitor and take charge of any children who are not behaving or who do not want to participate in the party activities.

Atmosphere and party conditions
We require that all guests present at the party be respectful to the character. If at any time the character feels uncomfortable because of the behavior of those present, they will stop the party and leave with payment in full. Behaviors including but not limited to lewd or crude comments, the use of alcohol or drugs, smoking indoors, unwanted touching or advances (children disrespecting costumes or characters), physical or verbal abuse of children, or the display or use of weapons will not be tolerated. An unsafe party atmosphere violates our agreement, and we have no obligation to continue the party. We reserve the right to refuse service to anyone. We want to make your party wonderful, but we must see to the safety and comfort of our performers first. Your understanding and assistance in this is greatly appreciated.

Our performers are not allowed to be alone with any number of children at any time. Often, children want to share their toys with the character. If we cannot find a replacement, we will do our best to supply you with a different character. We do all we can to be perfectly punctual to each party that we attend. However, sometimes life does not go as planned. If your character feels as if they will be arriving late, they will call and inform you. Although it is never anticipated that a character should be delayed or late, if your character is later than 40 minutes, you have an option to cancel the party or accept the character at a 50% discount. Full or partial refunds can be worked out on a party-by-party basis. We will do all we can to be fair and reasonable, and even more so if you will do the same.

Things like close proximity to stadiums, or amusement park, or living near a road that may have a lot of traffic will sometimes slow a character down. Telling us this information will help in making sure your performer is at your event on time. Failing to mention traffic conditions as stated above, with the exception of accidents or construction may result in tardiness. If hosting your party at a venue, please inform us of the exact site location at the venue along with the proximity of the site from the parking lot. Las Vegas Character Visits assumes no responsibility or liability for accidents or damage caused by party guests. We appreciate your assurance to see that our assets are treated gently, carefully, and with respect. As the client, you will be held financially liable for any damage incurred to our party assets while we are on-site at your location, including the character’s costume and the entertainment materials.

Should you have the need for a licensed, copyrighted character at your event, we encourage you to contact the company/copyright holders for your specific desired character. Additional Fees
Sometimes additional may apply if the character requires extensive makeup or preparation time. These fees go straight to the performer or makeup artist to ensure a perfect quality event.
